New in OXP Marketing & Leasing: AI Agents That Finish the Lead-to-Lease Funnel

Opening

Do you know how much you're paying for each lease? Do you know what it actually costs you to produce one approved lease? That's CPAL, Cost Per Approved Lease, as we call it at Entrata: all-in costs (your ad spend across Google, the ILSs, and every other channel; your onsite team, vendors, and agencies; your full technology stack) divided by the value of the approved leases you actually got. Lower is better. It's a harder number to compute than most operators realize, but it's the only honest score for the money you're spending to fill units.

Of those inputs, technology is the one moving fastest, and AI is the piece of technology where the answer changes month to month. The bar we hold our own Marketing & Leasing AI agents to is simple: if an agent doesn't move CPAL, it's the wrong agent. Faster replies, more tours booked, prettier dashboards - that's activity, and activity that doesn't show up as approved leases costs you twice. Once for the AI, and again for the humans still doing the real work past it.

That bar shaped what we shipped in March and what's coming in June. We're building AI agents at every level of how a lead becomes a lease - from L1 content agents that draft email copy and SEO alt-tags on your website, to the Lead-to-Lease workflow agents we shipped in March, to Leasing AI conversational (L4) agents from ELI+ already in production, to the L3 full-stage agents and our first L5 roll-up agents coming in June. All of them are inside the same platform that already runs the property with seamless access to all of your data to ensure accuracy.

The early signal is in: the agents our customers are reaching for most are the Lead-to-Lease ones doing the unglamorous post-tour work, inviting leads to apply, starting applications, archiving cold pipelines, and countersigning leases at scale. This is the work that compounds into a lower CPAL.

What's New

  • March release (live now): New Lead-to-Lease agents in OXP automate UI workflows across marketing and leasing, including the “Send Invitation” agent that invites qualified leads to start and complete applications (already the most-used Lead-to-Lease agent in our portfolio), agents that archive and cancel inactive leads, and agents that bulk countersign leases. Together, these agents help teams drive more applications, keep the CRM clean, and finalize leases without clicking through the same screens every day.
  • June release (coming): New, complex L3 agents will automate workflows across every stage of lead-to-lease, alongside our first L5 agents that orchestrate entire workflows across Leads & Tours, Applications, Screening, and Leasing. These agents own full prospect outcomes end-to-end, from first touch through application and beyond.
  • In production since 2025: L1 agents that draft email copy, blog posts, and SEO alt tags from website imagery, and L4 Leasing AI conversational agents that engage prospects, qualify them, and book tours across SMS, email, chat, and voice.

Why It Matters

The goal isn’t fewer humans on your leasing team. It’s humans focused on the work only humans can do: the high-intent tour, the lease-term negotiation, the tricky screening case, and the at-risk renewal conversation. Every minute spent on mechanical work, re-sending the same SMS reminder, archiving cold leads, and chasing signatures, is a minute not spent lowering CPAL and closing leases.

With agents working across the full lead-to-lease journey inside one platform, the mechanical work shifts to AI, and your team gets focused on the work that actually leases apartments.

Why This Works Inside Entrata

Because these agents run directly inside the Entrata OS, teams get live lead context, accurate pricing and availability data, property policies, permissions, approvals, and audit trails without wiring AI into disconnected tools. Send Invitation knows which leads to invite because the CRM data is already there. Bulk Countersign Leases stays inside lease execution with the document trail your team already trusts. Leasing AI inherits the same guest card, tour calendar, and screening context your onsite staff use every day. That means operators can automate more of the lead-to-lease journey while staying aligned to company standards and portfolio-wide controls, instead of pushing work into a bolt-on that only sees part of the picture. And because the agents run inside the Entrata OS, they operate within existing compliance guardrails which are designed to help you maintain compliance with the Fair Housing Act and other standards, based on industry best practices.
